Privacy

This page describes what ProvenSubs stores, for how long, and who else touches it. It is written to match what the software actually does.

What we hold

  • Your account: email address, a hashed password, and whether the address is confirmed.
  • Your credit ledger: every grant and spend, so a balance can always be explained.
  • Job records: file counts, cue counts, target language, cost, state and timestamps.
  • The subtitle files you upload, and the translations produced from them — temporarily, see below.

We do not hold card details. Payments go directly to Stripe's hosted checkout; we receive only a customer reference and whether a payment succeeded.

How long files are kept

These windows are enforced by a sweeper that runs every five minutes, not by anyone remembering to press a button.

Job records — counts, cost, dates — are kept after the files go, so your history and ledger still make sense. They contain no dialogue.

Who else processes it

  • Moonshot AI — receives the subtitle text to translate it. This is unavoidable; it is the translation itself.
  • Stripe — payments and tax. Handles card data; we never see it.
  • Cloudflare — sits in front of the site, and provides the anti-bot check on sign-up.
  • Resend — sends confirmation and password-reset email.
  • Hetzner — hosts the server, in Germany.

Translation text passes to Moonshot AI and may be processed outside the EU. If that is unacceptable for your material, do not upload it.

What we do not do

We do not sell data, we do not run advertising trackers, and we do not read your subtitles for any purpose other than translating them and returning them to you.

Your choices

You can request deletion of your account and its records by emailing the address below. Uploaded files are already deleted automatically on the schedule above, so in practice there is rarely anything left to remove.
